Booking, payment and schedulingThe fine print, made readable.

Every project gets a written proposal and agreement. This page explains the standard terms ahead of time, so nothing in your contract comes as a surprise.

The short version

  • A 50% deposit holds your date. The balance is due on delivery.
  • Quotes are all-in. Crew, gear, editing and licensed music, itemized upfront.
  • Your project agreement wins. If it differs from this page, the agreement applies.

How booking works

  1. Proposal. After our discovery call, you get a proposal with the deliverables, crew, schedule and an all-in price.
  2. Agreement. Once you’re happy with the proposal, we send a short agreement and statement of work (SOW) to sign online.
  3. Deposit. A 50% non-refundable deposit reserves your production date. Dates are held only once the deposit is paid.
  4. Pre-production. We plan the shot list, schedule and locations with your team, including a prep call before the shoot.

Proposals are valid for 30 days.

What your quote includes

Unless your SOW says otherwise, quotes include the crew and equipment listed, pre-production planning, the shoot, editing, color, sound mix, licensed music, two revision rounds and delivery in the formats you need. See our revisions policy for how rounds work.

Travel and locations

  • Projects within 50 miles of Dallas–Fort Worth include travel.
  • Beyond that, mileage is billed at the current IRS rate, and overnight trips include travel days, lodging and per diem, quoted upfront.
  • Location fees, permits, parking and venue charges are the client’s responsibility unless included in the quote.

Shoot day

  • Shoot hours are set in the proposal, including setup and breakdown.
  • Please have your talent, product and location ready at call time so we can make the most of the day.

Weather and the unexpected

For outdoor shoots, we’ll keep an eye on the forecast together and make a call 48 hours ahead. Weather reschedules are free. If illness, emergency or equipment failure stops us from shooting, we’ll provide a qualified replacement crew or reschedule at no cost; if we can’t, any payment for the affected work is refunded.

Delivery

Delivery dates are agreed when you book and written into your SOW, because every project is different. Final files are delivered by download link, so download and save them as soon as they arrive.

Usage rights

Once paid in full, you get full usage rights to the final deliverables. Details are in our copyright and usage terms.

Liability and insurance

Beowulf Media carries general liability insurance; certificates of insurance (COIs) are available on request for venues that need one. Our liability on any project is limited to the amount paid for it.

These terms summarize our standard agreement and are governed by the laws of Texas. Your signed agreement and SOW are the final word. If anything there differs from this page, the signed agreement applies.

If something here is unclear for your project, ask before you book. We would rather explain it on a call than surprise you later.
